Position Summary

The Financial Services Office seeks a Full-Time Financial Services Specialist ETE to coordinate the daily activities and functions of the Customer Service and Document Imaging area to ensure compliance and integrity of FSO/Operations. The primary function to this incumbent will be the oversight of invoices, receipts on behalf of Accounts Payable, Payroll and Procurement card supporting documentation. This position requires a conscientious individual who will display a high degree of professionalism, and who possesses skills in setting priorities while managing a wide variety of duties with minimal supervision.

Duties & Responsibilities

• Prepare, scan, store and review a variety of financial, personnel and student documentation for electronic imaging into the DocuWare scanning solution.
• Perform daily, weekly and monthly audits of scanned documentation to ensure accuracy and quality assurance.
• File all paper documentation according to state librarian policies and procedures for easy retrieval.
• Utilize Kofax scanning software to ensure quality controls are in place.
• Perform research for internal and external customers pertaining to the retrieval and review of scanned images or lost documentation.
• Serve as a technical resource to identify issues and make recommendations and implement solutions.
• Utilize office equipment such as Canon, Ricoh copiers/scanners.
• Maintain and troubleshoot issues with Canon scanners that may occur.
• Maintain electronic files of financial documents and apply appropriate codes in imaging system.
• Utilize appropriate communication tools to disseminate information efficiently and effectively.
• Responsible for testing systems for upgrades, enhancements or streamlining processes and documenting procedures.

• Cross train with other business areas to assist as needed in order to maintain the FSO/Operations workflow.
• Work closely in a team environment, or independently as priorities may change rapidly.
• Provide training to internal and external customers.

Knowledge, Skills, & Abilities

• Knowledge of electronic imaging systems.
• Knowledge of electronic imaging systems and banking processes; Credit Card, ACH, wires, foreign drafts.
• Skill in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
• Skill in problem analysis, problem solving and decision making.
• Ability to communicate effectively in a team environment.
• Ability to organize work to meet deadlines and assist with others at peak times.
• Ability to pick-up and carry 5 – 15 pounds of documentation to various locations.

Three (3) years of customer service experience, including at least one year of experience in accounting or finance; OR Associate’s Degree in Accounting or a related field AND one (1) year of related customer service experience; OR Any equivalent combination of experience training and/or education.

Preferred Qualifications

• Associates degree in Accounting, Business or Public Administration or a related function which includes accounting coursework AND two years progressively responsible experience in a directly related function; OR,
• Five years progressively responsible experience in a directly related function which includes a broad exposure to all areas of accounts payable and accounting principles, practices and procedures.
• Experience with University of Arizona systems such as UAccess Financials, UAccess Employee, and UAccess Analytics, including knowledge of policies and procedures.
