Position Summary

The Department of Nutritional Sciences is looking for a part time conference coordinator to assist in organizing event details for the Sports Nutrition Conference: Fueling Practice and Play on October 12, 2018. The conference coordinator must provide their own phone and computer, and is responsible for overseeing all aspects of the conference including maintaining communications with speakers, sponsors, volunteers and participants. More specifically, the position involves attending all conference planning meeting and coordinating activities including speaker travel and meal arrangements, facility equipment set up, managing registration details, releasing marketing materials, communicating with sponsors, organizing volunteer participation and and sending follow-up communications. The conference coordinator must be available to attend and oversee the running of the conference all day on October 12th. The coordinator will work for Ronnie Mullins, the Chair of the Conference, and will work in collaboration with the Conference Committee members. Desk space is available in Ronnie’s office for use if needed.

Duties & Responsibilities

● Attend conference planning committee meetings
● Administrative duties – Maintain all event records, print conference materials, send thank you and follow-up communications
● Work with speakers – Obtain bios and presentation materials, request equipment needs, plan and coordinate travel, lodging and dinner reservations
● Facilities – Organize and confirm presentation equipment, seating, and food
● Registration – Manage registrations and breakout session bookings, work with department staff to manage deposits
● Marketing – Manage database of target audience contacts, release marketing materials
● Sponsors – Maintain a list of sponsors and contributions
● Volunteer – Organize volunteer participation
● Ensure the conference is running smoothly and according to the schedule

Bachelor’s degree in field appropriate to area of assignment AND two years of administrative/coordinative program experience; OR, six years of progressively responsible administrative coordinative program experience; OR, any equivalent combination of experience, training and/or education.
