Position Summary

The University of Arizona Cancer Center Division (UACC) invites qualified professionals to join our team as an Office Specialist who will support UACC Business Office, Human Resources, and Facilities. The Office Specialist performs a variety of complex office/clerical support duties related to UACC operations. The successful candidate will complete an assortment of administrative work duties including business office support, facilities management support, human resource support, mail room coverage, and inventory management.

Duties & Responsibilities

Provide support to the UACC Business Office:

  • Purchasing card (P-Card) related transactions.
  • Reimbursements.
  • Supply orders.
  • Vendor payments.
  • Assist with copying, scanning, running errands, and event coordination.
  • Become familiar with, and keep updated on, University Financial, Purchasing, and Employment policies.
  • Other associated administrative duties.

Provide support to the Facilities manager:

  • Building access including key assignments.
  • Keycard activation and de-activation.
  • Phone activation.
  • Other associated on-boarding activities.
  • Arrange and track office renovations following administrative approval throughout UACC buildings.

Provides HR support:

  • Job posting.
  • New hire processing.
  • Filing and maintaining documents.
  • Other related support duties.

Provide coverage for Facilities Manager and Mailroom as needed:

  • Sort and distribute incoming mail and packages (internals, USPS, courier) and log in all packages prior to pick-up.
  • Routinely lift up to 30 pounds.
  • Assist with UACC inventory.
  • Act as a backup for room scheduling.
Knowledge, Skills, & Abilities
  • Skills in the operation of a variety of office machines, personal computers and software (Excel, Access and Outlook), telephones and copiers.
  • Skill in basic math.
  • Knowledge of policies, practices, procedures and terminology of assigned function.
  • Ability to follow directions.
  • Skill in developing and maintaining good working relationships.
  • Ability to problem solve and make decisions.
  • Ability to effectively communicate both verbally and in writing with superiors, coworkers, and other offices at the University of Arizona.

Three years of office/clerical experience which includes one year in a directly related function; OR, a Certificate in Secretarial Science AND two years of secretarial/clerical experience; OR, any equivalent combination of experience, training and/or education.
