Position Summary

Incumbent will perform varied clerical and secretarial duties for Navajo County Extension office in Holbrook, AZ. Typical duties include answering phones, creating correspondence, word processing, data entry, scheduling appointments, establishing and maintaining files and records. Position also greets visitors and assesses the appropriate action to meet their inquiry.

Duties & Responsibilities

- Receives and screens telephone calls and visitors; assists visitor or caller by answering questions or providing information regarding office/department policies or procedures utilizing thorough knowledge of office operations; determines when referral to supervisor, appropriate staff member or other office is appropriate.
- Organizes, establishes and maintains record-keeping systems for correspondence, documents, materials or records for an administrative function; sets up files by numerical, alphabetical or other method; records or logs incoming information and follow-up on missing or incomplete information.
- Schedules appointments/meetings for staff as directed utilizing knowledge of priorities and prearranged plans; organize and maintain unit’s calendars
- Operates office equipment such as personal computers, phone system, copiers, printers, postage machine, etc.
- Will work within the following software programs to process and maintain unit documents: MS Office, Outlook, Box, 4H Online System, UAccess
- Manages unit’s incoming and outgoing mail.
- Makes unit’s deposits and reconciles purchases.
- Data entry for units AAP forms.
- There may be additional duties assigned as it relates to the position.

Knowledge, Skills, & Abilities

- Knowledge of basic record keeping procedures.
- Knowledge of standard office practices and procedures.
- Skill in typing/word processing and use of personal computers/software and programs.
- Skill in composing letters and preparing reports.
- Ability to effectively communicate.

Three years of secretarial/clerical experience; OR, Certificate in Secretarial Science AND two years of secretarial/clerical experience; OR, any equivalent combination of experience, training and/or education.
