Position Summary

Eller MBA is seeking a Full-Time MBA Assistant Director for the Full-Time MBA platform based in Tucson, Arizona (with occasional travel to campus located in Phoenix). Under the supervision of the Full-Time MBA Director, the Full-Time MBA Assistant Director will perform as an integral member of the MBA team to deliver an excellent Eller experience for students, faculty, campus partners, alumni, and friends of the Eller MBA Program. The ideal candidate will be skilled in managing the needs of multiple constituents and conflicting priorities, exhibit professionalism handling sensitive matters, and possess the ability to achieve effective results in a fast-paced environment.

Duties & Responsibilities

Student Experience
• Contribute to strategic vision, goals, and project plans, and document results for delivering a premier student experience in partnership with platform Director and team.
• Manage academic advising, dual degree advising, and document ongoing progress, initial approver of Master Plan of Study (MPOS) and manage tracking for online Grad Path forms.
• Under the guidance of the platform Director, manage communication plan and calendar outline for Full-Time MBA platform as matriculating students transition from Admissions to Launch, including sending welcome emails, organizing elements of launch, and manage collection of data from pre-launch survey.
• Serve as lead composer and organizer for weekly newsletter content; collect and review data to provide recommendations for changes.
• Collaborate with Admissions and Finance team to execute Wildcat Preview events throughout the spring semester.
• Manage MBA Graduate Assistantship (GA) matching process including communication to students, department partners, and faculty; maintain documentation and lists; support training and follow up with the Graduate College.
• Maintain Full-Time MBA website for consistency with branding specifications, assure content reflects current curricular and co-curricular programming, provide recommendations for future enhancements based on student feedback and web reporting.
• Communicate graduation related events and ceremonies to students; track student interest and RSVPs; promote and collect votes for class awards; organize logistics for Toast and ensure awards are ready to be presented.
• Handle all core and elective course registration through UAccess consistent with department agreements, document status; communicate issues with students.
• Collaborate with campus partners including, but not limited to, Graduate College, Registrar, TCE, Financial Aid, Bursar, and Global Initiatives to support the student experience.
• Participate in collecting student feedback through informal and formal settings including creating entry, mid-point, and exit survey questions with online tool; provide recommendations based on student feedback.
• Participate in relevant alumni engagement opportunities including student leadership events, Homecoming, networking, and Industry Advisory Board.
• Contribute to organizing student programming including course related events, case competitions, student organizations, and student travel to events.
• As a leader on the team, the Assistant Director will act in the absence of the Director.

Global Business Experience
• Partner with the travel agency, platform team and Study Abroad Student Exchange (SASE) on travel logistics to include:
o Pre-travel – evaluation of RFP, creation of itinerary, assisting with visa processing, creating and presenting travel tips via PowerPoint, packing of promotional materials, and establishment of social media sites.
o Post-travel – participate in debrief, conference call with travel agency, posting of business cards, presentations and photos to Blackboard, sending of thank you notes/emails.
• Assist platform Director with collection and evaluation of feedback from travelers.

Faculty Experience
• Manage course logistics including checking classroom equipment in advance, troubleshoot with campus partners if needed, ensure faculty have all necessary materials and supplies (e.g., student directories, rosters, seating chart on exam days, etc.).
• Communicate academic integrity issues to platform Director.
• Support Director in partnership with faculty to assess academic performance issues, maintain supervision over the progress of students under special advisement.
• Assist with efforts to partner and support faculty with respect to special events like electives overview, case competitions, special projects.

Team Experience
• Cultivate effective partner relations with Team Eller MBA to address student needs and execute events including Launch, graduation festivities, course related activities, etc.
• Actively participate in Team Eller MBA activities and initiatives to promote the Eller MBA in Tucson and Phoenix.
• Attend national conferences at the guidance of the Director to develop new skill sets and network with peers from other institutions.
• May serve on relevant committees with Director partnership (e.g., retreat planning, search committees, on and off campus, special projects, etc.).
• Provide support across functions and platforms as needed.

Knowledge, Skills, & Abilities

• Strong written, verbal and interpersonal skills
• Proficiency with Microsoft Office Suite
• Flexible schedule for occasional evening and weekend events
• Demonstrated ability to see the big picture and to also attend to details
• Demonstrated ability to work in a fast-paced dynamic office environment with a sense of humor
• Extremely flexible and able to work on multiple tasks with changing priorities as needed to reach common objectives for the program
• Skilled at effective problem solving and utilizing resources
• Model professionalism

Minimum Qualifications

• Bachelor’s degree
• Two years of work experience in higher education or customer service

Preferred Qualifications

• Master’s degree in business, education, or higher education preferred
• Experience advising/counseling university students
• Experience working with graduate business students
• Proficiency with University systems (UAccess, D2L, Salesforce) and MS Access or other database programs
• Experience with CRM
