Position Summary

The Accounting Assistant, Senior will be a critical team member in the Department of Medicine’s Business Office. The overall objective of the office is to provide operational and financial management support to 15 divisions and more than 150 faculty members within the Department of Medicine (DOM). This position will play a pivotal role in providing accounting support to the Business Office. This position requires great attention to detail, the ability to work in a fast-paced environment and a working knowledge of generally accepted accounting/bookkeeping principles.

Duties & Responsibilities
  • Weekly data entry of personnel transactions (new hire, job data changes, and position distribution changes) into department finance database, which includes calculating funding plans, distribution of effort, and budget changes.
  • Data enter sub-ledger codes including subgroups, vendors, description detail into various tables in the department finance database as needed.
  • Weekly initiate documents in UAccess systems including position funding distributions, salary expense transfers, general error corrections, and workflow documents.
  • Weekly reconcile department purchasing card (PCard) transactions.
  • Biweekly review of payroll roster data check reports for errors and make necessary data entry corrections.
  • Monthly reconciliation of PEL Error Report, which includes researching discrepancies in the dollar value paid on an account each pay period.
  • Monthly review and verify prelim Admin subgroup reports to UA Analytics.
  • Quarterly review and reconciliation of Payroll by Name Reports, which includes analyzing why the expenses do not tie to the University system, and why there is a balance available.
  • Quarterly review and data enter the indirect cost allocation earned by the department into department MS Access database.
  • Assist administration with special projects.
  • There may be additional duties assigned as it realtes to this position.

Two years of clerical accounting experience; OR, Associate’s degree in Business Administration or related field; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • At least two years of experience using MS Office Excel, Access, Word and Outlook.
  • Basic knowledge of business math and calculations, accounting functions, practices, procedures and generally accepted accounting principles.
  • Attention to detail and ability to multi-task projects and daily assignments, take initiative and be self-motivated.
  • Desire and ability to work in a fast pace environment with changing demands.
