Position Summary

This position will serve as temporary administrative support in the Chairman’s office for the Department of Medicine. A high degree of professionalism, organization, initiative, collaboration and ability to follow instructions while using good judgment is expected. Skill is required in both oral and written communications, and computer proficiency in Microsoft Word, Excel, and Outlook is essential.

This position requires a Monday-Friday work week with a start time of 8am. This position is expected to last less the 6 months.

Duties & Responsibilities
  • Serve as backup to Departmental Chair’s Executive Assistant – providing full administrative and calendaring support in the Executive Assistant’s absence.
  • Weekly Medical Grand Rounds scheduling and coordination, including developing, compiling and writing communications, promotional literature, flyers and outlines, coordinating process from development through printing and distribution.
  • Serve as liaison and central point-of-contact to faculty, staff and outside agencies in facilitating program objectives.
  • Manage travel related aspects of Chair’s clinical/research travel, which include but are not limited to: travel authorizations, reimbursements, expenditure control in accordance with budget allocations, as well as preparing documents for funding from outside sponsors.
  • Maintain conference room scheduling and update room wizard.
  • Triage general questions, answer and screen main phone line, receive/sort mail and faxes.
  • Oversee Monthly Research Seminar Series to include same steps as grand rounds.
  • Maintain and order office supplies.
  • Prepare itineraries for recruits and guest speakers.
  • Basic accounting: prepare and submit disbursement vouchers & purchasing card reconciliation.
  • Additional duties to be assigned as it relates to the position.

  • Knowledge of office and administrative practices and principles.
  • Skill in the use of computers and software.
  • Skill in writing various types of communication.
  • Ability to effectively communicate in written and verbal form.
  • Excellent organizational skills.

Bachelor’s degree in Business or field pertinent to work unit AND one year of directly related administrative experience; OR, five years of directly related administrative experience; OR, any equivalent combination of experience, training and/or education.
