Position Summary

The Water & Energy Sustainable Technology Center (WEST) seeks an excellent Program Coordinator to support their administration and operation functions. This is an exciting opportunity in a rapidly changing environment. You will play an instrumental part in the day-to-day operations, facilitating the groundbreaking research occurring every day at the University of Arizona WEST Center. The position will be located off the main UA campus at the WEST Center, 2959 W. Calle Agua Nueva, Tucson, AZ 85745. This position’s FTE will begin at 0.75 FTE (30 hours per week) but has the potential to increase up to 1.0 FTE (40 hours per week) based on organizational needs.

The Program Coordinator will coordinate general administrative functions in support of the Directors and Associate Director and responsibilities will include reporting, logistics management, event coordination, processing of financial transactions, office management functions and website and social media activities. The successful candidate will possess exceptional organizational skills, attention to detail, ability to coordinate between WEST and main campus while ensuring clear communication, sharing of information, and adherence to policies.

The Water & Energy Sustainable Technology (WEST) Center is the University’s leading facility in the development of new technologies that deal with water scarcity and reuse. The facility is co-located at the Agua Nueva water campus of Pima County, providing a unique venue to conduct the translational research necessary to advance the sustainable technologies of the future. The WEST Center represents an important partnership—among few in the nation—that brings together various stakeholders to address some of the grand environmental challenges facing society today. The Center maintains a membership program to engage participants from industry, government and academia. The partnership currently involves Pima County, Tucson Water, numerous industrial partners, and the University of Arizona. Researchers from the UA’s College of Agriculture and Life Sciences and College of Engineering work on site. This position will play a key role in coordinating Center activities that will lead to exciting and groundbreaking results critical for our sustainable future.

Duties & Responsibilities

• Coordinates activities of program with interrelated activities of other programs, departments or staff to ensure optimum efficiency and compliance with appropriate policies, procedures and specifications
• Assists Associate Director with space allocations and management
• Monitors program expenditures ensuring that budget allocations are not overspent
• Evaluates and recommends operational changes to work unit to ensure effectiveness and compliance with University policies and regulations
• Investigates, evaluates and resolves typical administrative/operations problems or situations impacting the program and work unit.
• Facilitates and organizes workshop, meeting and conference activities, logistics and communications
• Maintain the WEST website, including editing and managing content.
• Manage WEST social media activities and content.
• Provide administrative support to Directors and Associate Director
• Receptionist duties such as reception of visitors, managing mail and packages
• Prepare and process financial documents such as travel and expense reimbursements, purchase orders, supply ordering, and other transactions as needed.
• Interacts and maintains liaison with students, faculty, staff and outside/community agencies in facilitating program objectives
• Assist with proposal preparation for funding and/or funding continuation from outside sponsors.
• Assist with current and prospective member affiliations
• Participates in special projects as directed.
• Additional duties may be assigned

Knowledge, Skills, & Abilities
Minimum Qualifications

In addition to ABOR minimum qualifications below:

• Excellent writing and editing skills
• Experience in event planning and logistics for small and large scale events
• Detail oriented with strong organizational skills
• High level of proficiency in Microsoft Office Suite applications including Word, Excel, Outlook.

Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in field appropriate to area of assignment AND two years of administrative/coordinative program experience; OR, six years of progressively responsible administrative coordinative program experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications

• Familiarity with website content management
• Familiarity with Google Analytics and social media scheduling programs
• Experience with the University of Arizona’s financial system UAccess
• Knowledge of University of Arizona financial policies and procedures
