Position Summary

Safford Agricultural Center, located at 2134 S Montierth Lane Safford, AZ 85546, approximately 125 miles from The University of Arizona main campus in Tucson, AZ, is seeking a qualified candidate to fill the position of Accounting Assistant within the Business Office. The successful candidate will be able to process daily business transactions for this small department and provide support to the business office of Graham County Cooperative Extension. Candidate must be focused, yet able to handle interruptions, have initiative to learn and follow financial related policy, and be flexible to changing dynamics.

The Accountant Assistant will be responsible for front desk operations and assisting the business office with daily business transactions for the Safford Agricultural Center and providing back-up business office support to Graham County Cooperative Extension when needed.

This benefits eligible position, to be hired at 30 hours per week to start, follows a M-Th schedule, with occasional flexible Friday hours, and daily hours within 7:00am-4:30pm. There is potential for an increase to 40 hours per week with future need.

Duties & Responsibilities
  • Directs front desk and business office inquiries; greets visitors, answers phones, receives deliveries.
  • Reconciles purchasing card transactions and purchasing card statements following policy.
  • Initiates financial documents and transactions, such as employee and vendor reimbursements, purchase requisitions, travel authorizations, distributions of income and expense, cash receipts, and gift receipts, verifying amounts and totals on the various forms for accuracy.
  • Prepares and checks invoices, requisitions and other documents for processing; encodes and obtains approval when necessary.
  • Performs Time Coordinator duties: verify employee time has been recorded, ensure timesheets are approved by deadlines, clear and/or monitor time exceptions.
  • Assists department with occasional monthly payments including various utilities and internet service.
  • Monitors office inventories, and initiates replenishment of supplies.
  • Initiates employee transactions such as position distributions and job changes.
  • Becomes familiar with, and keeps updated on, University Financial/Purchasing/Employment policies.
  • Provides support to purchasing card reconciler and time coordinator located in Graham County Cooperative Extension Department.
  • Performs clerical duties such as collecting and sorting mail with occasional delivering of outgoing mail to post office, scanning and electronically filing documents, calendaring, and document preparation; operates a
    variety of general office equipment.
  • Assists in occasional educational programming events hosted by Safford Agricultural Center, such as Community educational programs.
  • Answers inquiries regarding work being performed.
  • Other duties as assigned.
Knowledge, Skills, & Abilities

Knowledge of basic business math.

Knowledge of simple financial principles.

Skill in maintaining accounting or bookkeeping records.

Skill in the operation of a variety of office machines including personal computers, telephones, scanner and fax machine.

Ability to adapt to changing systems.

Ability to recognize processing deadlines and flow of various documents through a Financial system, and work within that time frame.

Ability to use Microsoft Word, Excel, Outlook, and to learn and use new software related to office practices. Familiarity with Arizona State financial systems and policies a plus.

Minimum Qualifications

Ability to effectively communicate both orally and in writing with peers and the general public.

Experience using a computer for data entry.

Arizona Board of Regents Minimum Qualifications

One year related experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications

Previous business, accounting, or financial experience.

Associate’s Degree in Accounting, Business, Finance, or related field.
