Position Summary

The Office of Faculty Affairs provides oversight for all faculty and academic personnel actions in the College of Medicine (COM) such as recruitment, appointments, and promotions and tenure. We develop and coordinate activities that enhance the work-life and professional development of faculty, including faculty diversity initiatives. The office serves as a resource for administrators in the interpretation and application of faculty related policies and guidelines. The College of Medicine in Tucson has over 550 salaried faculty, 370 professionals, 260 Affiliates and 1,200 Associates.

The Office of Faculty Affairs is seeking applicants for a full-time position who will provide support for the various activities of the Faculty Affairs office. Specifically, the Program Coordinator, Senior will support the Executive Director of Faculty Affairs in managing recruitment and new hire activities and various events sponsored by the Office of Faculty Affairs. This position is expected to work in close partnership with multiple stakeholders, including representatives of our academic health care partners. We are seeking an enthusiastic team member who is interested in a broad spectrum of duties that require various levels of skills and expertise and who is eager to learn new processes.

Duties & Responsibilities
  • Prepare, review, and approve postings for appointed positions.
  • Assist with the review and processing of letters of offer for faculty as a final step before the dean signs the letter, ensuring that appropriate language is included in the letter.
  • Prepare and assist in obtaining approval for letters of offer for Department Heads, Center Directors and Assistant and Associate Dean positions.
  • May review and approve appointed and classified staff transactions.
  • Process E-verifications for all COM-T faculty, appointed personnel, and classified staff new hires.
  • Handle faculty credentialing verification requests from local agencies, hospitals, and throughout the U.S.
  • Support the logistics and arrangements for career development events for COM faculty, including workshops, New Faculty Orientation and Learning to Lead.
  • Coordinate paperwork tracking log and processes user and other updates as needed.
  • Support COM committees as needed.
  • There may be additional duties assigned as related to this position.

Bachelor’s degree in a field appropriate to the area of assignment AND four years of administrative/coordinative program experience; OR, Master’s degree in field appropriate to area of assignment AND three years of administrative/ coordinative program experience; OR, eight years of progressively responsible administrative/ coordinative program experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Previous experience working in an academic environment.
  • Previous experience with UAccess Employee and Analytics.
  • Expertise in personnel management, preferably in academic medicine.
  • Demonstrated ability to initiate and follow through on responsibilities independently and with attention to detail.
  • Ability to manage multiple projects, establish priorities, problem solve and make decisions.
  • Ability to work under deadlines and change focus with minimum notice.
  • Competence using computer applications including Microsoft Word, Excel, PowerPoint and Outlook.
  • Strong written and oral communication skills.
