Position Summary

The School of Information is accepting applications for a Program Coordinator to coordinate the day to day operations of the School of Information academic programs. The successful candidate will have the ability to work independently as well as collaboratively in a team-based environment. This position is supervised by the Manager of Administration.

Duties & Responsibilities

Undergraduate and Graduate Curriculum and Enrollment:

  • Work closely with Directors of Undergraduate and Graduate Studies, as well as the Associate Director in preparing the schedule of classes.
  • Submit, maintain, and update schedule of classes, including instructor and TA data for fall/winter/spring/summer.
  • Submit new courses, course modifications and course deletions.
  • Coordinate scheduling of departmentally controlled rooms.
  • Monitor class and departmental enrollment data, including SCH, majors, and RCM data.
  • Collaborate with the Business Office, Manager, Administration, and Directors of Undergraduate and Graduate Studies on the SBS Temporary Teaching Budget Report.
  • Register undergraduate and graduate students in classes, as needed.
  • Request Teacher Course Evaluations each semester.
  • Support the department curriculum committee.
  • Maintain course syllabi.
  • Process change of grade forms.
  • Process book orders and request desk copies.
  • Work with Manager, Administration on awarding scholarships.
  • Additional duties as assigned.

Additional Graduate Program Responsibilities:

  • Process all graduate admissions, including collection of application materials, applicant inquiries, admit/deny letters, preparing applications for committee review, and enter recommendations into GradApp.
  • Meet and assist graduate students throughout their course of study, including registration, plan of study, petitions, MA exams, thesis, etc. Track graduate student progress using GradPath.
  • Assist with graduate student funding,including TA or RA assignments and preparation of Notice of Appointment and offer letters.
  • Process tuition scholarship and graduate fellowships in coordination with departmental committees and business office.
  • Coordinate written and oral comprehensive exams and PhD defense scheduling.
  • Work closely with Director of Graduate Studies concerning graduate students and program issues.
  • Help coordinate Departmental Graduate Orientation.
  • Maintain Graduate Student Handbook.
  • Maintain graduate student files.
  • Additional duties as assigned.


  • Distribute information to Undergraduate and Graduate Listservs.
  • Assist faculty members with curriculum related and miscellaneous requests, as well as advise on academic policies and procedures.
  • Greet and assist visitors.
  • Additional duties as assigned.

  • Stellar customer service attitude and experience providing customer support.

Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in field appropriate to area of assignment AND two years of administrative/coordinative program experience; OR, six years of progressively responsible administrative coordinative program experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Strong prior experience/expertise in UA systems/programs/policies/procedures, or similar industry systems.
  • Desire and ability to work effectively in a collaborative, team-based environment.
  • Ability to work under tight deadlines.
