Position Summary

The Arizona Student Unions is seeking an organized and outgoing individual to join our Event Planning team. The successful candidate will have a comprehensive understanding of all aspects of event planning including logistics, catering, marketing, sales, presentation and will be responsible for all aspects of managing events including menu creation, room setup, décor and audio visual support.

The Arizona Student Unions consist of both the Student Union Memorial Center (SUMC) and the Park Student Union, as well as Highland Market and a number of convenience stores and food stops around campus. In addition to campus dining services and catering, the Arizona Student Unions also run mall scheduling, concessions at athletic events, Fast Copy & Design, the Union Galleries, Games Room, the Gallagher Theatre, and a Post Office Contract Unit.

The Student Union Memorial Center is one of the largest student unions in the United States. The SUMC contains everything students need – restaurants, retail spaces, a bank, lounges, study/meeting rooms, a computer lab, art gallery, and a movie theater. SUMC is often referred to as the “living room” of the University. Duties & Responsibilities
  • Market, schedule and manage a high volume of meeting reservations, low to high profile events, room selection, room layout changes and catering needs for use by campus and outside organizations
  • Coordinate all events focusing on customer needs, logistics and operational capabilities, assessing client needs and requirements, and providing timely and effective solutions while staying on budget
  • Contact potential clients to market and promote catering and event services
  • Work directly with catering, vendors and event services staff to ensure all event logistics and catering options/menus are presented to the customer accurately and effectively
  • Be present at events to coordinate with client, catering staff, facility operations and culinary staff
  • Develop proposals for potential customers and coordinate pending bookings
  • Maintain contact with clients to ensure satisfaction and resolve issues if necessary
  • React to customer issues and feedback in a timely and professional manner
  • Provide exceptional customer service to both internal and external customers
  • Perform all other job related duties as assigned
Knowledge, Skills, & Abilities
Minimum Qualifications
  • 5 years progressively responsible experience in catering sales, event planning and event management
  • Experience with event management systems
  • Excellent written and verbal communication, customer service and sales skills
  • Highly organized, detailed oriented with excellent problem solving skills
  • Experience managing multiple tasks simultaneously in a timely manner
  • Ability to function independently and intuitively in a fast-paced environment
  • Proficiency with MS Office Suite
  • Must have a valid driver’s license at time of employment and ability to drive according to the University Fleet Safety Policy
Preferred Qualifications
  • Strong interpersonal, coaching and conflict resolution skills
  • Demonstrated experience in planning and managing multiple events simultaneously
  • Strong organizational skills
  • Bachelor’s Degree in Hotel/Restaurant management or similar discipline with proven experience in hospitality field
