Position Summary

The Financial Services Office seeks a Full-Time Program Coordinator to oversee Accounts Payable/Travel policies and procedures on behalf of FSO/Operations. The primary function of this incumbent will be to work closely with peers on the revisions and development of internal and external policies and procedures. This position requires a conscientious individual who will display a high degree of professionalism, and who possesses skills in setting priorities while managing a wide variety of duties with minimal supervision.

Duties & Responsibilities

The incumbent for this position will develop, write, edit and organize policies and procedure documentation related to each Operations business unit; manage end-user support processes; analyze business or operating procedures; and develop efficient methods of operation.

• Assists colleagues in defining processes, forms and work flows between units when developing administrative systems and internal desk procedures.
• Conduct internal interviews with multi-level staff for analyzing processes, policies and desk procedures to ensure compliance and documentation meets the needs of the unit.
• Participates with management personnel in planning, directing and coordinating operational or procedural matters to meet project goals and objectives.
• Gathers and organizes information on problems or procedures; documents existing processes and systems and analyzes data for possible improvements; recommends new or revised systems or processes.
• Analyzes existing organizational structures and conducts operational audits; makes recommendations for improvements and assists with the implementation of approved changes.
• Determines if financial and internal controls are adequate to meet management objectives and makes recommendations for improvements; recommends and assists with the implementation of improved security and system control procedures.
• Plans, schedules, and coordinates the implementation of new or modified procedures through training.
• Creates user manuals and related training materials.
• Conducts meetings to encourage interaction and the exchange of ideas from various organizations to facilitate solutions to administrative problems.
• Plans, schedules, develops and presents training programs for users of administrative systems.
• Acts as project leader on special projects in FSO Operations.
• Coordinates activities of subordinates.

Knowledge, Skills, & Abilities

• Knowledge in forms design and procedures development.
• Knowledge of accounting principles and techniques used in performing analysis.
• Knowledge of higher education administrative systems.
• Knowledge of higher education policies and procedures.
• Skill in conducting interviews and group meetings.
• Skill in developing and conducting training programs.
• Skill in using Microsoft Office Suite software.
• Skill in writing, editing and organizing information in a clear, concise manner.
• Ability to effectively communicate both orally and written.

Minimum Qualifications
Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in field appropriate to area of assignment AND two years of administrative/coordinative program experience; OR, six years of progressively responsible administrative coordinative program experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications

• Four years of accounts payable, banking or accounting experience.
• Proven ability and skill in meeting and dealing with the public.
• University policy and procedures as they relate to purchasing and accounts payable.
• Two year experience in effective procedure and policy writing.
