Position Summary

The University of Arizona College of Medicine-Phoenix seeks a Coordinator for Pipeline Programs to serve as member of the Office of Admissions and Recruitment and provide specialized, high-level program coordination to support the mission-centric educational pipeline efforts at the College.

The position requires exceptional ethical integrity, confidentiality and organization skills as the incumbent will ensure compliance with university minor policies; development and execution of streamlined processes; and training and support to assigned staff. The incumbent must build and maintain rapport with university officials, community partners, college community members, and internal and external constituents; this is a highly visible customer outreach position. The Coordinator works under the general leadership of the Assistant Director, Advising & Outreach with ultimate oversight by the Associate Dean for Admissions and Recruitment. This position will require occasional weekend or evening hours.

Duties & Responsibilities
  • Coordinate and execute the day-to-day programming of the Scrubs Academy, including but not limited to once/month Saturday sessions and multiple week-long summer camps.
  • Provide supervision, training, and leadership to volunteers and assigned staff to maximize educational pipeline efforts. Monitor the development of volunteers and assigned staff to ensure successful program implementation. Provide guidance as needed for volunteers and assigned staff to problem solve. Assist with the recruitment and onboarding of volunteers and assigned staff.
  • Work and build relationships with K-12 schools, community organizations, other departments and university administrators; resolve or assist with the resolution of sensitive and/or complex issues and to develop and leverage opportunities for pipeline initiatives. Appropriately escalate issues with senior management.
  • Serve as a resource to medical student interest groups with a K-12 educational pipeline focus to ensure compliance with university policies.
  • Monitor budget and recommend expenditures to improve programs.
  • With direction, develop and facilitate educational pipeline-related workshops, meetings, conferences and other presentations.
  • With minimal direction, assist with planning and execution of recruiting, marketing and logistics for events.
  • Evaluate pipeline program effectiveness, including tracking of participants, measure success outcomes and overall efficiency to ensure delivery of high quality programs to K-12 students, schools and families.
  • Serve as a resource on various committees, boards and/or teams in support of educational pipeline/outreach goals.
  • Travel to off-campus meetings and events.
  • Assist the Office of Admissions and Recruitment team with processing applications and coordinating the recruitment events as directed by the Assistant Director, Advising & Outreach.

  • Able to plan, analyze and coordinate programs at college/university level.

  • Ability to work independently, self-start and self-monitor projects.
  • Knowledge of program evaluation and/or event development.
  • Experience working with diverse student populations (first generation, low-income, scholars) and College personnel (administrators, physicians, other health professionals, faculty).
  • Able to build relationships with internal and external partners.
  • Knowledge of budget preparation, management, and forecasting.
  • Strong written and verbal communication and presentation skills.
  • Personable, outgoing, friendly personality who has the ability to connect with multiple personalities.
  • Ability to adapt quickly under pressure.
  • Demonstrated ability to work independently, analyze and make decisions related to job responsibilities.
  • Demonstrated event planning-related coordination and organizational skills.
  • Demonstrated superior written, verbal communication and presentation skills.
Minimum Qualifications
  • Bachelor’s degree in a field appropriate to the area of assignment AND (3) three years of related experience; OR, (7) Seven years of progressive program experience.
  • Previous experience developing presentations and/or facilitating workshops.
  • Available to work weekends and evenings, as needed.
Preferred Qualifications
  • Master’s degree in Higher Education or teaching experience in a STEM-related field.
  • Experience in admissions and/or K-12 outreach programs.
  • Experience in speaking, writing and reading in Spanish/English (bilingual).
