Position Summary

The School of International Languages, Literatures, and Cultures (SILLC) in the College of Humanities seeks a highly qualified Program Coordinator, Sr. to work within the SILLC Business and Academic Support Services Center.

The selected applicant will be an integral part of the team and will provide human resources and payroll services support to the following departments and programs within SILLC: Africana Studies, Religious Studies and Classics, East Asian Studies, French and Italian, German Studies, Russian and Slavic Studies and the Center for Educational Resources in Culture-Language and Literacy (CERCLL)

This position requires exceptional attention to detail, sensitivity in maintaining confidential information, ability to effectively assess, prioritize, and respond to the needs of the SILLC Director, College of Humanities Business Affairs Team, SILLC Manager of Business and Finance, Department Heads and Directors, and faculty and staff. This position will report directly to the Director of SILLC and the SILLC Manager of Business-Finance.

Duties & Responsibilities
  • Foster effective working relationships with faculty, staff and departments around campus.
  • Create and maintain a working environment in which internal and external customers are treated with dignity and respect.
  • Supervise and oversee the Coordinator of Special Events & Student Employment, Graduate Services Coordinator, and Curriculum Services Coordinator.
  • Keep informed of, interpret, and apply pertinent rules, regulations, policies and procedures set forth by University and external agencies. Provide updates to staff and/or faculty regarding changes to UA policies and procedures.
  • Participate in Central HR training and professional development activities.
  • Assist in identifying hiring needs in collaboration with SILLC Manager of Business and Finance and Head/Directors, develop the position description, recruitment plan, organizational chart and inputs job postings into the university system and posts job advertisements.
  • Advise search committee to ensure all aspects of process are fair and unbiased and in compliance with Affirmative Action and Equal Opportunity laws, and may serve on committee, as needed.
  • Responsible for new faculty and staff on-boarding process.
  • Handle employee relations in collaboration with College of Humanities and central Human Resources as needed.
  • Handle leave management FML and non-FML, and sabbaticals.
  • Prepare visa application packet for J-1 Exchange Visitors/Visiting Scholars and H-1B employees with new and renewal process.
  • Monitor bi-weekly payroll including time coordinator communications to supervisors/time approvers.
  • Prepare payroll-related documents and online transactions, including new hires, designated campus colleagues, supplemental compensations, job changes, terms, payment requests, visa date changes, etc.
  • Serve as point of contact for payroll, hiring, and human resources-related questions and problem resolution.
  • Coordinate faculty annual performance reviews (using UA Vitae software) and promotion and tenure.
  • Oversee Summer and Winter hiring to include salary calculations, monitoring enrollment, entering FLPRs, verifying payroll.

  • Knowledge of university, state, federal policies and regulations (to include employment and immigration).

  • Strong communication skills-written and verbal.
  • Comfortable working with people, software, and numbers!
Minimum Qualifications
  • Proficiency in Microsoft Office software such as Word, Excel, and Outlook.
  • Proficiency working on computers, and familiarity with several internet browsers
  • Experience in a supervisory role.
  • Knowledge and skill in human resources administration in the areas of recruitment, employment, employment visas, employee relations, and benefits.
Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND four years of administrative/coordinative program experience; OR, Master’s degree in field appropriate to area of assignment AND three years of administrative/ coordinative program experience; OR, eight years of progressively responsible administrative/ coordinative program experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Experience working in higher education in an academic unit.
  • HR certification.
  • Excellent verbal and written communication skills.
  • Demonstrated skill in working independently and within a team environment.
  • Demonstrated ability to analyze and problem-solve.
  • Experience with PeopleSoft HCM software and/or UA systems including UAcess, UAccess Analytics, and other University software.
  • Experience with University of Arizona and our systems such as FLPR and UA Vitae.
