Position Summary

The Manager, Study Abroad Budgets and Contracts is responsible for overseeing budget development and contracts for assigned study abroad programs. The Manager will work on all study abroad program types with an emphasis on exchange, direct enroll, third party provider programs, and faculty-led programs in assigned region. The candidate is expected to support and advance Inclusive Excellence, the UA diversity and inclusiveness strategic initiative designed to create an inclusive environment for all faculty, staff, and students.

Duties & Responsibilities

• Develops accurate, cost-effective, and variable-driven program budgets through continued evaluation and communication with study abroad coordinators, faculty, and partners through all stages of a program cycle.
• Emphasis on exchange programs, direct enroll and third party programs including but not limited to: development of agreements exchange programs; development of agreements/contracts for customized programs; assessment and review process for renewing exchange programs; tracking signed agreements; develop, implement and track exchange balances and reporting requirements.
• Consults and collaborates with Procurement & Contracting Services, the Office of General Counsel, Risk Management, and other university administrative offices, as needed for the formulation of guidelines, procedures, and template modifications for assigned agreements.
• Advises faculty and study abroad coordinators on budget- and contract-related policies and procedures for assigned programs.
• Reviews and negotiates terms of assigned agreements for budget appropriateness and compliance requirements.
• Leads departments and partners in strategic discussion to resolve impasses and successfully finalize agreements.
• Facilitates negotiations with upper-level internal stakeholders as needed.
• Seeks, designs, and successfully implements creative solutions.
• Monitors and maintains a centralized system to track the status of budgets, contracts, and amendments.
• Provides consistent and culturally sensitive, written communication to all relevant parties regarding budget changes, program status, contract status, and related decisions.
• Maintains a high level of organization and prioritization with the ability to work within tight and conflicting deadlines to finalize budgets, process contracts, and assure the timely and accurate billing of students.
• Prepares student billing for assigned programs by running and evaluating reports in UAccess Analytics and Studio Abroad and submitting accurate student, budget, and billing item type data.
• Verifies partner invoices against the corresponding budget and agreement.
• Maintains a high-level, efficient knowledge of appropriate UA systems and other related software.
• Serves as a backup for all duties assigned to other Manager, Study Abroad Budgets and Contracts
• Collaborates on various assigned projects as needed.

Knowledge, Skills, & Abilities
Minimum Qualifications

• Bachelor’s degree in Accounting or a related area with accounting course work AND one year of professional accounting experience; OR,
• Five years progressively responsible and diverse accounting experience and course work, which includes at least one-year professional accounting, in which a broad exposure to all areas of accounting and accounting principles, practices and procedures was acquired; OR,
• Any equivalent combination of experience, training and/or education.

Preferred Qualifications

Prior experience with contracts and agreements.
