Position Summary

Help to manage the coordination of a $27 million dollar bi-weekly payroll cycle to ensure accurate and timely payments, distribution, and reporting for the University’s 21,000 employees. Direct the computation of wages, overtime, fringe benefits, pre-tax contributions to ensure compliance with state and federal taxation laws and execute, ABOR and University policies and regulations. Help lead the activities and success of Payroll-Operations employees to accomplish the University’s payroll processing objectives.

The primary function of this incumbent will be assisting in the oversight of Payroll aspects for the University. This position requires a conscientious individual who will display a high degree of professionalism, and who possesses skills in setting priorities while managing a wide variety of duties with minimal supervision.

Duties & Responsibilities
  • Prepares and reconciles payroll transactions, leave time accrual and balance reports, and faculty/staff qualified tuition reduction forms.
  • Computes payroll calculations based on employees tax withholding status and deduction schedule as requested by the employee.
  • Makes modifications in payroll system to update employee’s withholding information such as tax status, direct deposit enrollment or changes.
  • Posts and maintains wage assignments for child support, creditor garnishments, and federal and state tax levies.
  • Analyzes daily and biweekly payroll reports for accuracy and makes necessary adjustments or corrections.
  • Researches problems with paychecks that may include underpayments, overpayments, payment codes or accounts coded incorrectly.
  • Interacts with University units and outside agencies to resolve payroll related problems.
  • Recommends or participates in the development of new procedures and policies related to payroll operations utilizing knowledge of university, state, and federal policies and regulations.
  • Distributes work accordingly with available staffing.
  • Works with the Payroll Manager to establish training sessions for the Payroll-OPS Team to ensure all policies and procedures are met.
  • Helps to oversee the daily operations of the Payroll area functions ensuring compliance with federal and state laws, ABOR and University policies.
  • Serves as a payroll subject matter expert (SME) for the organization to provide assistance and guidance on issues that arise in the course of daily business.
  • Researches complex issues and provides appropriate and accurate timely information for management. Documents resolutions as necessary for future reference.
  • Recommends changes and improvements within the Payroll-Operations area to ensure efficiencies.
  • Works closely with campus departments and employees regarding payment inquiries.
  • Provides guidance as the payroll subject matter expert (SME) to Payroll employees in understanding how the University systems work and interact with each other,
  • Works with management on the coordination of the bi-weekly Payroll cycle processes.
  • Works closely in a team environment, or independently as priorities can change rapidly.
  • Work closely with the Payroll Manager to achieve the goals for Payroll, FSO and the University
  • Other duties as assigned.

Four (4) years of customer service experience, including at least two years of experience in accounting or finance; OR Associate’s Degree in Accounting or a related field AND two (2) years of related customer service experience; OR Any equivalent combination of experience training and/or education.

Preferred Qualifications

*Four years of Payroll experience.
*Proven ability meeting and dealing with the public.
*Experience in a paperless record retention environment and/or imaging systems.
*Experience in analysis and improvement of policies and procedures.
*Experience working in a higher education environment.
*Experience with PeopleSoft or ADP software
*Skill in development of training programs
*Skill in leading meetings
