Position Summary

The Development Coordinator will provide support for the UAHS development team as they create and exceed fundraising goals and objectives. The Development Coordinator will report to the Manager of Development Operations, and will support staff and programs in both Phoenix and Tucson. In this role, they will become adept in administrative tasks, annual giving, alumni relations, events, research, fundraising, and stewardship activities. This position will be located on the Phoenix Biomedical Campus (PBC) in downtown Phoenix.

Minimal in-state travel may be required, including travel to Tucson for staff meetings and events.

Duties & Responsibilities
  • Provides direct, high-level administrative support to staff located in Phoenix and Tucson.
  • Acts as main point of contact and support for centralized UAHS development at the Phoenix Biomedical Campus (PBC).
  • Coordinates and schedules meetings and visits among staff, faculty and donors.
  • Maintains and manages all electronic and physical donor, prospect and departmental files.
  • Works closely with special events staff to plan provide on-site support at functions.
  • Prepares communications, including thank-you letters, acknowledgements and presentations.
  • Maintains calendars for assigned staff and prepares travel itineraries, reservations and background materials.
  • Prepares all purchasing, travel, p-card, and reimbursement documents on behalf of development staff for the UA and UA Foundation.
  • Enters event, contact and action items into Raiser’s Edge.
  • Oversees general office systems, supply orders and equipment maintenance.
  • Opens and reviews incoming mail and routes to correct member of staff.
  • Routs documents on and off campus as necessary.
  • Prioritizes workload to meet work unit operations.
  • Evaluates and recommends operational changes to work unit to ensure effectiveness and compliance with University policies and regulations.
  • Coordinates business affairs, personnel matters and may interpret policies and procedures.
  • Serves as liaison to faculty, staff, students, alumni, outside agencies and the public concerning information or complaints.
  • Assists with communications between donors, prospects, and other members of the development team, including drafting and editing correspondence, proposals, letters of intent, gift agreements and stewardship reports.
  • Runs queries and reports from Raiser’s Edge to support fundraising efforts.
  • Assists in the identification and prioritization of prospects for development officer travel.
  • Works closely with special events staff to plan development events and provide on-site support as needed.
  • Conducts ad hoc prospect and donor research as necessary.
  • Supports the planning and execution of UAHS board and leadership meetings.
  • Assists in the preparation of donor briefings for UAHS leadership and development staff.
  • Acts as strong backup for Gift Processor, completing batches, copies and deliveries.
  • Acts as strong backup for Development Services Specialist, completing recurring queries and reports.
  • Manages data in Raiser’s Edge and follows best practices for maximizing productivity and increasing data integrity.
  • Ensures execution of next steps and follow up with key stake holders after meetings.
  • Promptly responds to donor needs using judgment and discretion.
  • Creates and disburses regular communications among UAHS administrative staff regarding the development team, and best practices for interacting with potential donors.
  • Manages and prepares mailing lists for events, mailings and publications; maintains listserves.
  • Proofreads and edits internal and external communications.
  • Works with vendors in the procurement of products or services.
  • Serves as a liaison to various internal and external affinity groups to further UAHS relationships.
  • Other duties as assigned.
Knowledge, Skills, & Abilities
  • Excellent interpersonal communication skills, including written and oral communication.
  • Exceptional organizational skills: detail-oriented, able to prioritize strategically, and effectively juggle multiple projects simultaneously.
Minimum Qualifications
  • Five (5) years’ experience providing high-level support to multiple colleagues at the administrative or coordinator level.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook).
Preferred Qualifications
  • Bachelor’s degree.
  • Knowledge of fundraising principals and procedures.
  • Experience with relational databases such as Raiser’s Edge or other CRM.
  • Experience with UAccess and other University systems and procedures.
  • Proven track record for meeting goals and deadlines with minimal supervision.
  • High comfort level meeting new people over the phone and in person.
  • Ability to interact professionally with donors, leadership and guests at special events.
  • Self-starter with high comfort level working independently and as part of a team.
  • Excellent problem solver; strongly motivated to seek solutions.
  • Experience in data collection/retrieval and analysis.
  • Demonstrated ability to deal with sensitive and confidential information with tact and discretion.
