Position Summary

The Department of Medical Imaging is currently seeking outstanding candidates for the position of Administrative Associate for the Department. The incumbent will use sound, independent judgment, excellent time-management and prioritization skills and resourcefulness to serve as the primary point of contact, providing discreet and confidential executive and administrative support for the Department. This position is responsible for handling sensitive correspondence and must be able to represent the Department to internal and external constituents as needed. This individual will work closely with the Department Head and the management team.

The successful candidate will be required to perform complex, deadline driven tasks and handle sensitive issues of a highly confidential and critical nature. This individual will demonstrate the ability to effectively manage their workload and also to professionally and creatively deal with any challenges that may arise. The ideal candidate will be dynamic, energetic and highly organized.

Duties & Responsibilities
  • Approve/authorize expenditures or actions for administrative and operational needs sometimes requiring higher level signatures.
  • Prioritize workload to meet work unit operations.
  • Evaluate and recommend operational changes to work unit to ensure effectiveness and compliance with University policies and regulations.
  • Coordinate business affairs, personnel matters and interpret policies and procedures.
  • Serve as liaison to faculty, staff, students, alumni, patients, outside agencies and the public concerning information or complaints.
  • Prioritize and arrange meetings, conferences and appointments for unit, make necessary travel reservations and itineraries, determine and prepare background materials as needed.
  • Manage effective contacts and relationships with senior management, including travel arrangements, expense reimbursements, meeting logistics, and acting as a first point of contact for queries.
  • Additional duties assigned as it relates to this position.
Knowledge, Skills, & Abilities
Minimum Qualifications
  • Proficient in Microsoft applications including Word/PowerPoint/Excel/Access.
  • Experience managing a supervisor’s calendar and scheduling meetings using Outlook or similar software.
  • Experience working under pressure and completing multiple, often competing tasks within a deadline relating to multiple faculty members.
  • Experience working in a hospital, physician’s office or medical environment.

Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in Business or field pertinent to work unit AND one year of directly related administrative experience; OR, five years of directly related administrative experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Excellent time-management, prioritization, and organization skills.
  • High level of accuracy and attention to detail.
  • Broad communication abilities; ability to communicate effectively with a wide range of constituents and audiences using a variety of communication mediums.
  • Excellent oral and written communication skills; excellent writing and editing skills; English composition, grammar, spelling and punctuation.
  • Ability to develop and maintain effective working relationships.
  • At least five (5) years’ experience with medical administration and familiarity with the University of Arizona.
  • Advanced proficiency with standard office policies and procedures.
  • Knowledge of basic accounting/budgeting procedures.
  • Strong data mining, problem solving and decision making skills.
  • Experience coordinating an alumni outreach program and/or newsletter.
  • Excellent social and interpersonal skills, including diplomacy, tact, discretion and the ability to maintain absolute confidentiality.
