Position Summary

The Division of Pulmonary in the Department of Medicine is seeking a part-time Administrative Associate who will provide support to the Research Lab of Dr. Louise Hecker by coordinating staff and general administrative functions including monitoring budgets and business affairs, personnel matters, and interpreting policies and procedures. Such functions generally call upon incumbents to make decisions in regards to acquisition and allocation of organizational resources, to coordinate the work activities of staff/student employees, and to apply analytical and problem solving techniques to work unit’s business affairs including financial and human resources matters.

Duties & Responsibilities
  • Preparation and circulation of monthly budget reports, including projections.
  • Reviewing and auditing of expenses.
  • Implementing budget changes (e.g. incorporating alterations in effort).
  • Addressing budget concerns when necessary (e.g. discrepancies that arise).
  • Obtaining purchasing quotes when needed.
  • Ordering of lab supplies/equipment.
  • Meeting with PI and staff regarding budgets.
  • Coordination of shipping samples to different labs.
  • Completing paperwork required for the hiring of new personnel.
  • Scheduling of meetings and conference/video calls, and booking conference rooms.
  • Completing necessary paperwork for travel authorization and travel reimbursement.
  • Booking travel arrangements.
  • Booking registration for conferences and memberships.
  • Creation of itinerary for visiting guests.
  • Coordination of symposiums and workshops.
  • Maintaining records and schedule for lab certifications and trainings (biosafety, etc.).
  • Electronic submission of manuscripts, animal care protocols, and progress reports.
  • Document editing (incorporating edits, proof-reading, formatting).
  • Assistance with letter writing (formatting with official letterhead and adding electronic signature).
  • Point of contact between UA and VA research office to assist with related paperwork.

  • Ability to problem solve and make decisions.
  • Ability to effectively communicate.
  • High attention to detail.

Bachelor’s degree in Business or field pertinent to work unit AND one year of directly related administrative experience; OR, five years of directly related administrative experience; OR, any equivalent combination of experience, training and/or education.
