Position Summary

Under the general direction of the Department of Emergency Medicine (DEM) Coordinator of Faculty Affairs, this Office Specialist, Senior position will work within the faculty affairs unit of the DEM. The successful candidate will be expected to work under their own initiative with limited supervision on Promotion and Tenure (P&T) dossiers. The successful candidate will also be involved with annual faculty reviews, requiring experience and advanced knowledge of UA Vitae.

Duties & Responsibilities
  • Review and edit faculty dossiers at various stages of development.
  • Meet with faculty to ensure dossiers are completed per instructions and submitted on or before College of Medicine deadlines.
  • Provide administrative support to DEM P&T Chair and committee members.
  • Act as point person for the administration of the entire P&T process, including email correspondence, phone calls, meetings, etc.
  • Serve as department UA Vitae coordinator, including providing technical support and training to faculty, and run department reports as needed.
  • Ensure all faculty meet the self-evaluation annual review deadline.
  • Provide support to DEM P&T committee to complete annual peer reviews of all faculty.
  • Coordinate annual review meetings with department chair.

Arizona Board of Regents Minimum Qualifications

Five years of increasingly responsible office/clerical experience, which includes one year in a directly related function; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Advanced skill in MS Office 2016, with particular emphasis in Outlook, Word, Excel and Publisher.
  • Advanced skill in Adobe Acrobat DC.
  • Advanced proofreading and editing skills.
  • Excellent grammar and spelling skills.
