Position Summary

The Department of Biomedical Engineering seeks a Senior Academic Advisor I to support the recruitment and success of students pursuing Graduate Degree programs in Biomedical Engineering. This individual will: provide Academic Advising from the first semester through graduation; empower students to achieve their academic and career goals; build formative relationships with advisees; serve as frontline contact; and act as campus concierge for 30+ Graduate students enrolled in the BME program. The Advisor will work to ensure both new and continuing students have a clear path to achieve academic success through engagement and a sense of belonging to the UA community and the Department of Biomedical Engineering.

Duties & Responsibilities

• Manage all graduate student admission processes: prepare admission applications for faculty committee review, coordinate admission with Department Head and faculty on all graduate admissions policies and procedures.
• Provide on-boarding to newly matriculated graduate students, including initial advising and introduction to orientation information prior to program start.
• Assess students’ academic preparation and promote academic growth by determining suitable developmental tasks to assist students in attaining academic and career goals (could include: recommendation for writing workshops, math/statistics tutoring, academic integrity and institutional regulations, etc).
• Counsel students on options to satisfy degree requirements, monitor students’ academic progress, determine satisfactory progress toward degree, assist students in completion through use of UAccess Grad Path.
• Assist students with negotiating University processes and procedures, including letters and petitions, schedule changes, leaves of absences, academic probation, services related to special needs, etc.
• Coordinate BME seminars and activities.
• Assist in the evaluation of the quality and effectiveness of the Graduate Program.
• Prepare correspondence, meeting notes, notice and manuals associated with the graduate program.
• Coordinate recruitment activities.
• Coordinate all student financial support, completion of graduate assistant/associate hiring, ensuring that students meet eligibility.
• Assist faculty with coordinating two training grants currently housed in BME. This includes maintaining trainee appointments with NIH Commons/Xtrain, coordinating visiting scientist travel and agendas, coordinate trainee-director meetings, collect alumni/ trainee annual survey and trainee accomplishment information, and assist the director in preparing annual reports and grant renewal process.
• Assist faculty with student mentoring activities.
• Act as a liaison with students, faculty, staff and outside communities in facilitating program objectives.
• Attend recruiting events with a focus on under-represented minorities. This will involve travel to selected events and interaction with potential student groups.

Knowledge, Skills, & Abilities

• Strong organizational, relational and verbal communication skills
• Computer skills and knowledge of Microsoft Office Suite (Excel, PowerPoint etc.)
• Knowledge of University of Arizona administration systems

Minimum Qualifications

Bachelor’s degree in related field and four years or more of experience; OR, any equivalent combination of experience, training, and/or education.

Preferred Qualifications

• Experience in academic advising.
• Experience working with sponsored research projects and coordinating training grants.
