Position Summary

Reporting to the President of the University of Arizona Alumni Association, the Chief Operating Officer provides leadership and strategic direction for the UAAA’s operations and serves as a key member of the UAAA senior leadership team. The Chief Operating Officer is responsible for the efficiency and continuous enhancement of the organization and maintains control of diverse business operations to drive strategic initiatives across the UAAA. The Chief Operating Officer leads and manages a staff of approximately five direct reports and 15 total full-time equivalents in the following areas: accounting and business operations, business development, data & analytics, IT, human resources, marketing and communications, and UAAA’s membership program. The Chief Operating Officer also holds the title of Assistant Vice President, Alumni Operations for the University of Arizona and is a University of Arizona employee.

Duties & Responsibilities

The essential responsibilities of the Chief Operating Officer position are:

Accounting and Business Operations:
Provide guidance and leadership to staff responsible for managing the UAAA day-to-day accounting and business operations, including office and building management, accounting processes and procedures, scholarship awarding, internal financial reporting, financial reporting for chapters and clubs, annual budgeting process, and annual external audit and 990 tax filing.

Business Development, Revenue and Affinity Programs, and Membership:
Lead the efforts of staff responsible for developing strategy and driving sponsorship and advertising revenue, evaluating membership pricing models and profitability, and enhancing and expanding business opportunities with affinity partners.

Contract and Risk Management:
Analyze, review, and authorize all contracts with vendors and service providers.
Responsibility for the evaluation and assessment of business risks for the UAAA, procuring the proper insurance coverage, ensuring service providers are properly insured, and implementing processes and procedures to mitigate risks for all events and activities sanctioned by the UAAA.

Data and Analytics:
Further develop the goals and objectives for expanding the data and analytic capabilities of the UAAA.
Work with UAAA internal team, campus partners, and external consultants to build the infrastructure necessary to effectively store, protect, report, and analyze alumni and other data.

Human Resources:
Serve as the primary contact for University of Arizona HR and manage all UAAA internal HR-related activities, including hiring, performance evaluations, staff development, special accommodation requests, and timesheet approvals and processing.

Information Technology:
Work with the University of Arizona Foundation regarding overall IT needs for UAAA staff, as well as with an outside vendor to manage daily IT issues and needs, including procurement of hardware and software as necessary.

Marketing and Communications:
Provide leadership in developing a comprehensive UAAA marketing and branding plan.
Work with UAAA Marketing and Communications to determine investments necessary to expand and enhance functionality of digital and print assets.

Serve on University-wide committees to represent UAAA as required or requested.

Knowledge, Skills, & Abilities
Minimum Qualifications

The appointed Chief Operating Officer must have a bachelor’s degree in a related field and at least five years of direct experience in providing strategic operational leadership, as well as a minimum of two years of direct experience in management and staffing.

The appointed candidate will have demonstrated experience in financial planning and analysis with previous experience overseeing HR, IT, and contract and risk management. The chosen candidate will be skilled in organizational development, personnel management, budget and resource development, and strategic planning and have the ability to see strategic opportunities based on an understanding of trends in alumni relations. The selected candidate will have excellent people skills, with an ability to partner with a dynamic leadership team, campus constituents, volunteers, and alumni. The appointed candidate will possess personal qualities of integrity, credibility, and commitment to UAAA’s vision and mission.

In addition, the Chief Operating Officer will be flexible and capable of multitasking; able to work within an ambiguous, fast-moving environment while driving clarity and solutions; and have a record of demonstrated resourcefulness in setting priorities and guiding investment in people and systems. The selected candidate will have excellent organizational, communication, and interpersonal skills; the ability to work effectively with a wide range of constituencies in a diverse community; and the capacity to meet tight deadlines and work on multiple projects simultaneously while managing competing priorities.

Preferred Qualifications

A master’s degree in a related field is preferred, as is at least five years of experience in a senior management role. Familiarity with higher educational advancement and/or fundraising strategies is an advantage, as is experience in business development, revenue, and affinity programs. The ideal candidate will have knowledge of University of Arizona processes and procedures.
