The College of Medicine- Phoenix invites applicants to apply for a new role as the Department Faculty Coordinator. This team member will work closely with the Office of Faculty Affairs and the department Chairs, to develop and support academic faculty with various initiatives. This new position will provide local support for their assigned home department and work directly with the Department Chair, the Director and Program Manager of Faculty Affairs, to develop and manage faculty appointment process, promotion and tenure, annual reviews, and other activities within UA Vitae. The Department Coordinator is expected to work in close partnership with multiple stakeholders, including representatives within our affiliate partner sites.

This position will have a matrix reporting structure and will report to the Director of Faculty Affairs and the Department Chair.

The Office of Faculty Affairs provides oversight for all faculty in the College of Medicine (COM-P) such as recruitment, appointments, and promotions and tenure. The office serves as a resource for administrators in the interpretation and application of faculty related policies and guidelines. Duties & Responsibilities
  • Coordinate with department faculty leaders with UAVitae support in accordance with faculty affairs requirements:
  • Coordinating annual reviews using UAVitae for some groups of faculty
  • Coordinating data collection on behalf of the multiple departments for various annual institutional and national accreditation requests.
  • Coordinate department P&T committee activities including scheduling, preparing dossiers, formal correspondence to the college level Appointments, Promotion and Tenure committee, and documenting meeting outcomes.
  • Coordinate department based mentoring committee activities including the scheduling of meetings, data collection, verification, and annual program reporting to the office of faculty affairs.
  • Prioritizes, participates in and arranges faculty events such as department meetings, awards, participation in convocation, local conferences (i.e. grand rounds) and relevant appointments for department chairs, executive cabinet, other key faculty
  • Coordinates academic travel and itineraries; determines, prepares and verifies all background materials needed.
  • Composes confidential correspondence on own initiative and at times on behalf of departmental leadership in support of faculty programs.
  • Assists with the department based hiring/search committees for faculty recruitments.
  • Works with the assigned affiliate hospital liaison (Banner, PCH, VA, Maricopa, Dignity, etc.) College Human Resources and Office of Faculty Affairs for faculty onboarding/credentialing upon hire.
  • Serve as liaison to faculty, staff, students, alumni, patients, and the public concerning information or complaints relevant to faculty affairs and their respective and multiple growing department(s).
  • Serve as central point of contact for operational matters for physician and non-physician faculty in support of faculty affairs, at COMP while prioritizing workload to meet work the operations of multiple departments.
  • Organizes and/or prepares department faculty administrative and basic reports; analyzes, summarizes and interprets College and UA policy and procedure information; evaluate and recommend operational changes to executive department leaders to ensure effectiveness and compliance with College and University policies and regulations.
  • Assist department leaders with building/maintenance of departmental web presence.

  • Identifies the sequence of tasks and the resources needed to achieve a goal, and prioritizes key action steps. Anticipates the impacts and risks of decisions and actions.
  • Seeks and uses others’ input about critical actions, timelines, sequencing, scope, outcomes, and priorities. Sees potential challenges and opportunities, and adjusts plans based on input.
Minimum Qualifications
  • Do you have at least seven (7) years equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved; OR, Bachelor’s Degree and three (3) years or related experience?
Preferred Qualifications
  • Previous experience supporting projects or managing complex schedules.
  • Experience providing excellent customer service (hospitality, tourism, service industries)
