Position Summary

The College of Science (COS) is one of the largest colleges at the University of Arizona with 16 departments and 3 schools. Our units encompass the range of physical, mathematical, environmental, cognitive and life sciences. The College of Science Dean’s Office is seeking applicants for a Program Coordinator to provide high-level administrative support to the Associate Deans. The selected candidate will handle multiple projects with a high degree of professionalism, organization, and coordination. Time management, attention to detail, and the ability to multitask are essential skills for this position.

Duties & Responsibilities
  • Maintain complex calendars for the Associate Deans.
  • Provide high-level administrative support to the Associate Deans, including drafting correspondence, making travel arrangements, processing reimbursements, and other duties as assigned.
  • Responsible for general office administration, including opening and closing the office, answering phones, mail distribution, inventorying office supplies, assisting visitors, and other duties as assigned.
  • Manage grade appeals and academic integrity violations.
  • Provide support for the Community Scholars Program.
  • Provide support for Science Communication activities and academic programs to include updating website.
  • Responsible for all Associate Deans meeting logistics.
  • Maintain check-in/out logs for college property (laptops, banners, and parking permits).
  • Respond to emails from the general public.
  • Responsible for scheduling the Dean’s Office conference and meeting rooms, including assisting meeting coordinators with the conference room technology.
  • Maintain various contact lists, office directories, and email listservs.
  • Assist with College of Science events as needed.
  • Additional duties as assigned.

Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in field appropriate to area of assignment AND two years of administrative/coordinative program experience; OR, six years of progressively responsible administrative coordinative program experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Previous experience managing calendars of upper administrators, preferably in an academic environment.
  • Basic understanding of the University of Arizona’s administration structure.
