Position Summary

This position is responsible for coordinating the University of Arizona Cooperative Extension (UACE) Wildcat AmeriCorps (AmeriCorps) program across the UA Cooperative Extension. The position reports to the PI and Co-PIs of the program and is responsible for the day-to-day management of the program including maintenance of reporting and document processing, coordinating and training AmeriCorps members and site supervisors, use of reporting systems, organizing professional development workshops and special events for members. Includes some statewide travel for site visits, supervisor training and member orientations.

Incumbents are responsible for insuring compliance with AmeriCorps regulations by interfacing with PI, Co-PIs, the Governor’s Office of Youth, Faith and Family, the Corporation for National and Community Service (CNCS), and the University of Arizona.

Duties & Responsibilities

Assist with the development of member and agency agreement forms, pay-out schedules, employment paperwork and other processes for enrolling successfully as an AmeriCorps member and supervisory site.

Provide oversight of the UACE Wildcat Corps program through management and periodic contact with site supervisors and members, while complying with CNCS policy and procedures.

Maintain continuity of reporting and document processes for the UACE program. Coordinate and train members and site supervisors in implementation of the hourly reporting system. Ensure appropriate documentation and training is available for the system.

Become versatile in the My.AmeriCorps.gov, e-Grants and OnCorps Reports and the university systems so that position descriptions are developed and entered, applicants are monitored, and members are enrolled, tracked and managed with enough documentation to meet state audit requirements and site visit requests.

Interface with members/students and supervisors to enroll and exit members, track and record hours, progress reports, and evaluations. Assist applicants with criminal background checks and other enrollment needs, as necessary.

Maintain required files and records for audit, and respond to requests from the State Governor’s Office for desk audits, site visits or other requests.

Write quarterly and annual reports, utilizing data collected from sites and members; write annual grant application for program funding.

Attend AmeriCorps trainings offered by the State (grantor), as available.

Prepare for each program year, working with site requests and reviews, helping local sites recruit and match up candidates for positions.

Coordinate marketing materials and efforts with local sites (web interface/brochures/tabling etc.).

Organize professional development workshops, teambuilding events for members & supervisors.

Participate in site visits and agency meetings, as needed.

Distribute AmeriCorps shirts/pins/hats, as needed.

Update member agreements and handbooks, as needed.

Collaborate with other community entities that sponsor Americorp Members.

Participate with PI’s in grant renewals.

Knowledge, Skills, & Abilities
Minimum Qualifications
  • Strong skills in online data management, including analyzing data and reporting.
  • Strong writing skills.
  • Strong people skills, including mediation and persuasion.
  • Presentation skills and experience.
  • Experience using Excel and Word.
Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in field appropriate to area of assignment AND two years of administrative/coordinative program experience; OR, six years of progressively responsible administrative coordinative program experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Knowledge and experience with AmeriCorps administration and rules, including criminal background checks.
  • Familiarity with E-grants.
  • Familiarity with scheduling programs like Doodle.
  • Grant-writing skills.
