Position Summary

This position collaborates with other Library Information Associate, Sr. positions to facilitate customer access to materials owned and not owned by the University of Arizona Libraries. The areas of responsibility include physical item processing for interlibrary loan lending and borrowing, scanning for interlibrary loan lending and UA owned material (document delivery); video streaming production and customer service. Additional areas of responsibility include planning, coordinating and prioritizing daily work to meet defined quality standards; processing difficult and problem requests; responding to customer inquiries; collecting and analyzing departmental data, supervision of student employees; troubleshooting software and hardware problems; training staff and student employees; developing and updating training documentation; and communicating with DDA and library staff.

Duties & Responsibilities
  • Co-Lead for Interlibrary Loan Borrowing and Local Document Delivery:
    • Performs high-level problem solving and decision making related to processing Borrowing and Document Delivery requests; responding to interlibrary loan, document delivery and video streaming production and equipment related issues, and decisions related to student employee supervision.
    • Prioritizes daily work to meet defined quality standards and customer needs.
    • Ensures accurate departmental data is collected. Analyzes and reports data monthly.
    • Leads dialogues, and initiates meetings with DDA and other library staff regarding policies, changes and new services.
    • Keeps up to date with current trends and technology by attending relevant conferences and reviews and responds to relevant online discussions.
    • Monitors student wages budget, including tracking wages spent, and projecting future budgetary needs.
  • Supervisory Responsibilities:
    • Hires student employees, including posting open positions, reviewing applications, interviewing selected candidates, and ensuring that hiring paperwork is completed and submitted accurately and efficiently.
    • Supervises 5-7 student employees, including enforcing student expectations, time tracking and reporting, coaching and mentoring.
    • Develops and updates training documentation, and coordinates training for staff and student employees.
    • Assesses work competency levels for staff and student employees, communicates assessment outcomes, and in consultation with the individual’s supervisor, establishes performance improvement plans as necessary.
  • Technology Responsibilities:
    • Utilizes a variety of systems to support interlibrary loan, document delivery and video streaming, for example, ILLiad (interlibrary loan management software), Innovative Interfaces Millennium (library online catalog) and D2L (campus course management system).
    • Troubleshoots complex hardware, software and equipment problems (e.g. scanning, digitization equipment, ILLiad and OCLC software) and communicates problems to the ILLiad lead or library technology department for resolution.
  • Customer Service:
    • Responds to customer inquiries, and provides reference assistance applicable to DDA services.
    • Educates customers to be self-sufficient using DDA services, including submitting requests, renewing material, and copying video content in Panopto from one D2L course to another.
    • Handles difficult customer interactions, including replacement fees for overdue interlibrary loan materials.
  • Actively participates in library-wide and department meetings, discussions, decision making, projects, and training sessions.

Arizona Board of Regents Minimum Qualifications

Bachelor’s degree AND three years progressively responsible library experience; OR seven years progressively responsible library, information center or related work experience; OR, any equivalent combination of experience, training and/or education approved by Human Resources.

Preferred Qualifications
  • Demonstrated leadership experience.
  • Demonstrated experience hiring, training, coaching, mentoring and evaluating the work performance of student employees.
  • Demonstrated ability to collaborate, prioritize work, and solve problems. This includes flexibility, being proactive, and following through on work assignments.
  • Demonstrated experience with interlibrary loan and/or document delivery and its management systems (for example: ILLiad and OCLC).
  • Demonstrated customer service experience, including the ability to work with diverse people and serve a diverse population.
  • Demonstrated use of spreadsheet or database software (Microsoft Excel or Access), including formulas for data analysis.
