Position Summary

The Financial Services Office seeks a full-time Office Supervisor to oversee the Accounts Payable/Travel area on behalf of FSO/Operations. The primary function of this incumbent will be providing and training exceptional customer service and ensuring processes are timely, accurate and responsive. This position requires a conscientious individual who will display a high degree of professionalism, and who possesses skills in setting priorities while managing a wide variety of duties with minimal supervision.

Duties & Responsibilities

The incumbent for this position will supervise and coordinate the daily activities of the Operations Accounts Payable/Travel areas to include the following:

• Supervise employees to ensure quality customer service is provided at all times for Accounts Payable and Travel.
• Collaborate in hiring, evaluating, coaching and discipline for the Accounts Payable/Travel areas.
• Direct and plan for all routine activities to assure adequate staffing levels are appropriate and workload is accomplished timely and accurately.
• Communicate with customers on disputed transactions, via email, phone and through written correspondence.
• Ensure compliance with University and Financial Services Manual policies and procedures.
• Assure that the Operations specialists’ work is balanced each day.
• Act as resource to analyze and resolve difficult or complex problems presented by staff, University departments and vendors.
• Answer complex questions regarding tax issues and offer the optimal solutions to ensure compliance with IRS/University policies.
• Responsible for collection and maintenance of statistical metrics for Accounts Payable transactions.
• Provide timely and accurate training to staff to ensure compliance with policy and procedures.
• Liaison with University departments regarding FSO/Operations business.
• Represent the Accounts Payable/Travel office on various University teams and external training.
• Oversee that internal controls are in place to ensure the integrity of the unit.
• Provide support and guidance during fiscal year end processing to assist with University compliance and a successful fiscal year-end accounting closure.
• Answering detailed financial questions with regard to Financial Services Manual Policy and procedures.
• Periodic review of processes, systems and work assignments to recommend improvements in the accuracy and efficiency of the office.

Arizona Board of Regents Minimum Qualifications

Six years of office/clerical experience which includes two years in a supervisory capacity; OR, an Associate’s degree in Office Administration, Business Administration or a related field AND four years of clerical/administrative experience which includes two years in a supervisory capacity; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications

• Four years of accounts payable, banking or accounting experience.
• Proven ability and skill in meeting and dealing with the public.
• Knowledge of University policies and procedures as they relate to purchasing and accounts payable.
