Position Summary

This position provides administrative work unique to the College of Fine Arts (CFA) Development Office requiring initiative and independent judgment. The position requires the ability to handle multiple priorities, maintain a high level of customer service and the ability to work with internal and external constituents in a manner that is befitting of the integrity of the College.

Reporting directly to the Senior Director of Development, this person will be a part of a dynamic team that interacts with all aspects of the College of Fine Arts and with our donors.

Duties & Responsibilities
  • Answering the main Development Office phone line. Must be able to interact in a friendly, helpful, and positive manner with donors over the phone and in person.
  • Data management of financial records in the Raisers Edge; relational database (financial data, queries reports); also maintain timely and accurate shared electronic server files.
  • Mail merges to support donor stewardship, ie — acknowledgement letters, correspondence, and event preparation.
  • Run gift reports for DO’s, donor ticket reports, donor recognition lists for DO’s and Schools.
  • Gift Processing – ensure prompt processing of all gifts to the College, adhere to and all UAF guidelines for gift processing, troubleshoot issues.
  • Maintain communication with UA Foundation gift processing and accounting teams as needed to ensure accuracy of records and compliance with procedures.
  • Support for routine administrative processes (internal request forms; reimbursements)
  • Additional duties may be assigned.
  • Flexibility with work schedule when needed.

Secondary Administrative Duties:

  • Opening the Development Office each day
  • Order Office Supplies and Business Cards
  • Provide event support including set up and tear down as needed
  • Process mail
  • Help DO’s with calendars and reservations and travel
Knowledge, Skills, & Abilities
  • Intermediate knowledge of Word, Excel, Outlook, Any CRM experience
  • Excellent communication skills (verbal and written)
  • Skill in office operations management, customer service, analyzing and establishing priorities, donor-centric relationships, handling confidential information.
  • Strong organizational skills.

Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in Business or field pertinent to work unit AND one year of directly related administrative experience; OR, five years of directly related administrative experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • 1 plus years in development support
  • Knowledge of UA policies and procedures.
  • Knowledge of organizational practices.
  • Knowledge of supervisory practices and principles.
