Position Summary

The University of Arizona has an excellent opportunity for a motivated individual to begin a career in the field of university research administration. As a Sponsored Projects Administrator assigned to Award Services, you will be centrally positioned with shared responsibility for reviewing all externally funded award documents for the purpose of capturing data to support project management and institutional reporting. You will coordinate with Proposal, Contracting and PostAward Services as well as sponsor, faculty, staff and institutional compliance units to establish and maintain award data in the institutional research administration system. You will engage with sponsors such as the National Institutes of Health, the National Science Foundation, the Department of Defense, non-profit foundations, and private industry to ensure project compliance with sponsor and institutional requirements. To excel in this position, you must have a customer-service attitude, be skilled at managing multiple priorities in a fast-paced environment, and have an aptitude for learning to use a variety of IT systems to manage, analyze, and transfer information. You will be an integral part of our team of award specialists, learning from them and sharing your knowledge with others as you become proficient in this field.

Sponsored Projects & Contracting Services (SPCS), a Research, Discovery & Innovation unit, assists the University of Arizona research community in its efforts to secure external funding by providing high quality administrative and financial services to assist faculty and staff with proposals, provide guidance on the management of grants and contracts, and offer training on research administration topics. Duties & Responsibilities

• Review and analyze external funding documents for acceptance approvals, completeness and compliance within the framework of applicable guidelines.
• Advise University faculty and business staff on University negotiation and award status, and proposal routing procedures.
• Create and maintain award data in the University research administration system, with focus on attention to detail.
• Prioritize workload to meet work unit operation deadlines.
• Provide advice and support to faculty and staff with sponsored contract and grant issues, interpreting federal, state, sponsor and University regulations, policies and procedures.
• Participate in staff meetings and training sessions to share sponsored research administration topics.
• Use multiple online systems for award acceptance and management.
• Suggest procedures to improve effectiveness/efficiency.
• Represent the department at conferences and meetings at various levels of the University organization.
• The successful candidate must work well in a team with an open seating environment.
• Additional duties as assigned to meet department needs.

Knowledge, Skills, & Abilities

• Strong knowledge of PC applications, including spreadsheets, word processing, internet file upload, PDF forms, and e-mail.
• Interpersonal skills, including excellent written and oral communication.
• Effectiveness in working under deadlines and heavy workloads.
• Flexibility to handle multiple different tasks on a daily basis.
• Strong organizational and analytical skills.
• High level of self-motivation and initiative.
• Ability to respond positively and proactively to change.

Minimum Qualifications

• Federal regulations require that the incumbent be a U.S. citizen or legal permanent resident to be ITAR/EAR compliant.

Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in Business Administration, Accounting or related field; OR, four years of progressively responsible and diverse accounting, financial and contract management or closely related experience which includes one year at the professional level and significant exposure to a full range of accounting and financial management principles; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications

Preference will be given to candidates with the following qualifications:
• Knowledge of laws and regulations pertaining to proposal, grants and contracts administration.
• Knowledge of accounting and budgetary principles, practices and procedures.
• Skill in applying accounting and financial management practices and principles.
• Skill in financial analysis and decision-making.
• Experience with UA or other university financial, research and database reporting systems.
• Experience preparing proposals and budgets.
• Experience preparing/submitting proposals in Grants.gov, FastLane and other online application environments.
• Experience in contract/grant management.
