Position Summary

The University of Arizona has an excellent opportunity for a motivated individual with related prior experience to progress in a career in the field of university research administration. As a Sponsored Projects Administrator assigned to Proposal Services, you will be centrally positioned where University authority lies for submission of proposals to funding agencies for support of University research, education and outreach. You will have the opportunity to work with faculty and staff from across the University to review and submit proposals in areas such as space science, biomedical research, and environmental studies. You will engage with sponsors such as the National Institutes of Health, the National Science Foundation, the Department of Defense, non-profit foundations, and private industry to ensure that proposals meet their requirements. To excel in this position, you must have a customer-service attitude, be skilled at managing multiple priorities in a fast-paced environment, and have an aptitude for learning to use a variety of IT systems to manage, analyze, and transfer information. You will be an integral part of our team of proposal specialists, learning from them and sharing your knowledge with others as you become proficient in this field.

Sponsored Projects & Contracting Services (SPCS), a Research, Discovery & Innovation unit, assists the University of Arizona research community in its efforts to secure external funding by providing high quality administrative and financial services to assist faculty and staff with proposals, provide guidance on the management of grants and contracts, and offer training on research administration topics. In Fiscal Year 2015, the University of Arizona submitted 3,000 proposals to funding agencies, and was awarded more than $578 million in grants, contracts, and gifts.

Duties & Responsibilities

• Have signature authority for submission of proposals on behalf of the University.
• Prioritize and coordinate shared workload to meet work unit operation deadlines.
• Provide expert advice and support to faculty and staff with sponsored contract and grant issues, interpreting federal, state, sponsor and University regulations, policies and procedures.
• Conduct staff meetings and training sessions to share sponsored research administration topics.
• Use multiple online systems for proposal and award management.
• Develop and establish procedures to improve effectiveness/efficiency.
• Represent the department at conferences and meetings at various levels of the University organization.
• The successful candidate must work well in a team with an open seating environment.
• Oversee or lead work activities with co-workers.
• Advise and assist with preparation of proposal applications and budgets.
• Review and analyze external funding proposals and budgets for allowability, completeness and compliance within the framework of applicable guidelines.
• Advise University faculty and business staff on University proposal routing and sponsor submission procedures.
• Lead review of large, complex and non-standard proposals, exercising demonstrated appropriate independent judgement.
• Additional duties as assigned to meet department needs.

Knowledge, Skills, & Abilities

• Strong knowledge of PC applications, including spreadsheets, word processing, internet file upload, PDF forms, and e-mail.
• Interpersonal skills, including excellent written and oral communication.
• Effectiveness in working under deadlines and heavy workloads.
• Flexibility to handle multiple different tasks on a daily basis.
• Strong organizational and analytical skills.
• High level of self-motivation and initiative.
• Ability to respond positively and proactively to change.

Minimum Qualifications

• Federal regulations require that the incumbent be a U.S. citizen or legal permanent resident to be ITAR/EAR compliant.

Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in Business Administration, Accounting or a related field AND two years of account administration or related experience, which includes one year of supervisory or lead experience; OR, six years of progressively responsible and diverse accounting, financial and contract management or closely related experience, which includes three years at the professional level and significant exposure to a full range of accounting and financial management principles with one year of supervisory or lead experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications

Preference will be given to candidates with the following qualifications:
• Knowledge of laws and regulations pertaining to proposal, grants, and contracts administration.
• Knowledge of accounting and budgetary principles, practices and procedures.
• Skill in applying accounting and financial management practices and principles.
• Skill in financial analysis and decision-making.
• Experience with UA or other university financial, research and database reporting systems.
• 2-3 years of experience preparing proposals and budgets.
• Experience preparing/submitting proposals in Grants.gov, FastLane and other online application environments.
• Experience in contract/grant management.
