Position Summary


Boyce Thompson Arboretum (BTA) is the largest and oldest botanical garden in the state of Arizona. It is one of the oldest botanical institutions in the west. Founded in 1924 in Superior, Arizona, the Arboretum is situated on 392 acres along Queen Creek in the Sonoran Desert, about one-hour east of Phoenix. The BTA has a collection of over 2,600 species of arid land plants from around the world, and serves as a State Park, open to the public for educational and recreational activities, and archival and taxonomical plant research. It has a staff of 28 with an annual operating budget of approximately $1.6 million.

This is the second most senior position at BTA and the incumbent will independently manage and be accountable for all accounting, budgeting, post-award, auditing, and other financial or related functions to ensure the financial integrity of the BTA in the College of Agriculture and Life Sciences (CALS). The Assistant Director oversees and coordinates all of BTA’s business, finance, personnel and operations activities; oversees staff supporting the mission of the unit; helps lead in creating an environment that facilitates and enables the teaching, research, service, and Extension mission of the facility; and works as a partner with AZ State Parks to help deliver on the state parks’ mission . .

BTA is governed through a Cooperative Management Agreement comprised of a tripartite collaboration of the Boyce Thompson Foundation, a 501©(3) corporation in Arizona, the Arizona State Parks Department, and the University of Arizona CALS. The Assistant Director will work in partnership with the Director of the BTA to fully support the joint governance of the BTA. The reporting structure for BTA is through the School of Plant Sciences within CALS. All BTA employees, other than site security and a park manager which are State Parks employees, are UA personnel.

Duties & Responsibilities

• Supervises, coaches, and mentors staff and oversees their work.
• Responsible for all business activities at BTA. Makes decisions regarding the prioritization, delegation, and performance of the business office and its staff.
• Uses personal initiative and knowledge of tripartite resources to proactively and responsively find and implement solutions to financial and personnel issues.
• In collaboration with and at the direction of the BTA Director, makes decisions regarding hiring, evaluation, promotion and termination of employees, or makes related recommendations to the Director that are given particular weight.
• Prepares or coordinates preparation of financial and administrative reports; analyzes and interprets statistics, financial data, and management planning data for predicting resource needs and developing long-range plans.
• Assists staff with business-related needs. Analyzes and plans for the needs of staff, capital equipment/ improvements, supplies, and services and takes appropriate action, considering budget limitations.
• Professionally manages and controls expenditures in accordance with budgeted amounts; authorizes requests for purchases consistent with the strategic intent of the Director.
• Prepares major operational and special budgets; coordinates or directs preparation of budgets for reporting units. This includes the quarterly all funds and zero-based budgets for BTA.
• Actively involved in the annual BTA Annual Financial Report and audit, as well as staffing the financial needs and questions of the Boyce Thompson Foundation through the direction of the BTA Director.
• Controls and manages proper accounting and records of operational and special budgets; designs and implements new procedures or computer systems; manages cost control practices and cash flow analyses.
• Oversees the organization, invoicing and aged accounts receivables of all related agreements, including providing business terms to agreements to minimize risk to BTA.
• Coordinates and participates in internal and external audits; prepares audit work papers.
• Controls, coordinates and advises on personnel matters, such as preparing personnel forms for payroll, classification, recruiting and new hire actions, interviewing and selecting new staff, employee grievances, and ensuring compliance with applicable policies such as affirmative action.
• Advises staff and Board members on financial, technical and operational matters, instructs and orients new members of staff, faculty or administration. Effectively and timely communicates with colleagues and stakeholders.
• Interprets, implements, develops and/or recommends changes to rules, regulations, policies and procedures set forth by the university or outside governing agencies.
• Ambassador for the UA, college, and BTA. Works collaboratively and constructively with partners, sponsors, stakeholders, guests, and donors.
• Other duties as assigned.

Knowledge, Skills, & Abilities

• Ability to delegate and hold employees accountable for assigned tasks.
• Knowledge of accounting and budgetary theories, principles and practices.
• Knowledge of state and federal laws and regulations pertaining to departmental budgets and accounting practices.
• Skill in applying accounting and financial management practices and principles.
• Skill in use of automated/computer systems.
• Ability to effectively and tactfully communicate both in writing and verbally. Strong customer service temperament.

Minimum Qualifications

• Bachelor’s degree in Accounting, Business Administration or related field AND five years of directly comparable experience; OR,
• Master’s degree in related field AND three of directly comparable experience.
• Expert knowledge of Microsoft Excel, Word, and PowerPoint.
• Evidence of personal, team and change leadership.
• Experience in management and supervision practices and techniques.

Preferred Qualifications

• Direct experience in the preparation of Annual Financial Statements and support of external auditors in a state parks or other public service entity setting
• Experience leading in a dynamic public educational work environment
• Experience budgeting and financial reporting for a 501©(3) organization
