Position Summary

Planning, Design and Construction provides excellent services to University Departments through comprehensive planning, design excellence, quality construction, and managing real estate and space portfolios. The Accountant position is an integral part of the team of architects, engineers, project managers and financial and administrative support which supports the mission and goals of the department.

The successful candidate should enjoy working in a team environment and have strong analytical and organizational skills, attention to detail with a high degree of accuracy, and excellent judgment. This position reports to the Assistant Director of Business Services and requires the ability to work independently, set priorities, handle multiple tasks, determine the best approach or action based on policies, practices, guidelines and procedures and a working knowledge of Generally Accepted Accounting Principles.

Duties & Responsibilities

RESOURCEFUL ACCOUNTING MANAGEMENT:

  • Review, process and follow up on financial documents and transactions for over 100 plant fund accounts assuring completeness, accuracy and appropriate use of funds within budget spending authority.
  • Plan, organize and manage the financial transactions of real estate leases.
  • Reconcile financial statements to ensure compliance to department, University, State and Federal policies and procedures.
  • Analyze transactions and reports to ensure compliance with accounting principles and University regulations and make general interpretations and recommendations.
  • Prepare biweekly revenue and time billing reports.
  • Prepare specialized and complex financial reports, statements or analyses as directed by Assistant Director, Business Services.
  • Monitor accurate, audible accounting records of capital projects in both electronic and physical files.
  • Review and approve payroll records and submittals while observing time constraints as required by the University and department.
  • Serve as the department Payroll Representative responding to requests for information while maintaining confidentiality and using knowledge of department and University policies.
  • Advise the staff regarding acceptable accounting and procurement procedures and methods using knowledge of departmental and University policies and procedures.
  • Positively interact with department staff and other campus units, including Financial Services Office, Budget Office, Purchasing & Procurement, Facilities Management and UITS.
  • Collaborate with department HR coordinator on payroll issues to ensure smooth transitions for hiring, terminations, job changes and other employee-related actions.
  • Recommend and assist in implementing changes to policy or procedure to improve operations and activities related to Business Services
  • Respond promptly and appropriately to requests for records and information pertaining to assigned areas.
  • Work under own initiative and apply appropriate judgment in decision making within limits of authority.

EFFECTIVE BUSINESS ADMINISTRATION:

  • Supervise, train, evaluate and assign duties to student interns.
  • Assist with the department’s vehicle maintenance and service parking permits, taking appropriate action to ensure that vehicles remain in a safe, working condition.
  • Assist Assistant Director, Business Services with special projects as directed.

SPECIAL ASSIGNMENTS AND COMMITTEES:

  • Contribute positive input to efforts such as Search Committees and Process Improvement Teams.
  • Participate in the Cross Training / Support Staff team providing pertinent information and recent updates in procurement and accounting policies and procedures.

Minimum Qualifications
  • Proven ability to work as a cooperative team player and communicate effectively and collaborate with diverse groups.
  • Proven ability to multi-task, take initiative and be self-motivated.
  • Excellent communication, time management, organizational, analytical and problem-solving skills and attention to detail.
  • Knowledge of accounting practices, procedures and Generally Accepted Accounting Principles.
  • Proficient with MS Office Excel, Word and Outlook.
Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in Accounting AND three years of professional accounting experience; OR, Seven years progressively responsible and diverse accounting experience and coursework which included at least three years professional accounting in which a broad exposure to all areas of accounting and accounting principles, practices and procedures was acquired; OR, Any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Knowledge of UA policies and procedures and systems: Financials, Analytics, UAccess, Human Resources.
  • Competent knowledge of accounting principles and practices.
  • Experience with cost accounting and plant fund accounting.
  • Experience with procurement policies and procedures.
  • Experience using project costing database programs.
