Position Summary

The University Libraries Business Office seeks an individual who thrives in a collaborative work environment, has a strong work ethic and exercises creativity in fulfilling assigned duties to fill the role of Accountant, Senior. The Accountant, Senior supports the Libraries Accounting Manager in ensuring that day-to-day financial operations are carried out in accordance with established accounting principles and payroll policies, procedures and objectives. This incumbent serves as the payroll administrator responsible for internal payroll audits and systems assessment, final review and approval of biweekly payroll to ensure compliance with Libraries, University, State and Federal regulations. The Accountant, Senior reconciles, analyzes and prepares various financial reports, assists in managing and reconciling a variety of university funds (state, grants, gifts, and auxiliary) with emphasis on purchasing and budgeting. This position requires sensitivity in maintaining confidential information, an ability to effectively assess and respond to customer needs and the ability to work collaboratively on assignments of a varied and diverse nature. This position reports to the Accounting Manager, supervises two full-time staff, and works closely with the Associate Director, Finance & Administration, and Assistant Dean, Finance and Administration in managing the libraries accounts.

Duties & Responsibilities

• Assists Accounting Manager in the development of account management structures and budget loads, including account/transaction coding and assignment of funding; authorizes and approves expenditures; approves and/or prepares various financial documents, including invoice preparation for rendered library services; determines funding and expenditure decisions based on budget projections; advises on compliance with Libraries and University policies and procedures and industry best practices; reconciles financial transactions monthly to ensure proper coding of transactions using established Libraries account management structures.
• Provides back-up support to the Accounting Manager and Associate Director, Finance & Administration in preparing annual budget shells.
• Maintains UAccess Analytics customer dashboards for scheduled and ad-hoc reporting and works with customers to identify and correct any reporting issues.
• Assists Accounting Manager in developing, producing and analyzing a variety of monthly, quarterly, and annual reports to provide an accurate and transparent picture of the University’s financial position for various audiences. Work with various stakeholders to supply appropriate reports and analytical tools for budget forecasting.
• Serves as liaison to the University’s Financial Services Office in payroll administrator role; communicates payroll policies and procedures and responds to non-compliance issues or concerns.
• Trains, supervises, coaches, develops, and evaluates two Associate Accountants.
• Works to develop rapport and effective working relationships with other Library departments and staff, demonstrating the Libraries organizational values.
• Serves on special, departmental or library-wide initiatives or projects.
• Participates in the review and redesign of work processes.
• Provides back-up support for department staff during absences.
• Other duties as assigned.

Minimum Qualifications

• Demonstrated experience with leadership and supervisory practices, principles and techniques managing permanent full-time employees, including hiring, training (ability to create training documentation), evaluating performance against established competencies, coaching, mentoring and coordinating the work of others and/or projects, ensuring compliance with university and libraries policies and procedures.
• Advanced knowledge of Microsoft applications, including a high level of proficiency with Excel (i.e. ability to create pivot tables and complex formulas)
• Proven skills in financial analysis and decision-making.
• Proven skills applying budgetary and financial management practices and principles.

Arizona Board of Regents Minimum Qualifications

• Bachelor’s degree in Accounting AND three years of professional accounting experience;
• OR, Seven years progressively responsible and diverse accounting experience and coursework which included at least three years professional accounting in which a broad exposure to all areas of accounting and accounting principles, practices and procedures was acquired;
• OR, Any equivalent combination of experience, training and/or education.

Preferred Qualifications

• Demonstrated proficiency in UAccess Financials, Analytics, and Employee systems.
• Proven ability in preparing reports and performing independent analyses, presenting data, and making recommendations in a variety of formats, including written narrative analyses, charts, graphs, etc.
• Knowledge of sponsored project (grants) administration, fund management, policies and procedures.
• Knowledge of the Fair Labor Standards Act (FLSA).
